 Position: Document Control
Location: Overseas and North America

The purpose of the Document Control function within Merit is to ensure that all engineering, construction and project related documentation is controlled in a consistent manner and ensuring that all aspects of baseline management from issuance to final distribution and closure is maintained.

Document Control is responsible for the issuing, receiving, distributing, tracking and filing of construction related documentation such as contract documents, contract correspondence, design drawings, design briefs and calculations, specifications, vendor information and manuals, etc. Control of other non-construction related documents such as correspondence, progress reports, etc. are also processed by the Document Control person.

The delegated individuals designated as Document Controller (DC) for document control management shall be fully conversant with the following Merit Guidelines:

2.0 Contract Documents
3.0 Technical Documents

DC shall be responsible for the controlling of technical documents under the instruction of the Merit's or Owner's Project Coordinator.

These duties shall include but are not limited to:
  • Set up document control filing system by organizing, labeling, indexing, archiving, updating contract package documents, letters and transmittals.
  • In charge of incoming and outgoing correspondence, site instructions, change orders, work instruction requests, contracts and other forms of pertinent documents from the client and Contractors.
  • Logged all incoming and outgoing correspondence, drawings, specifications, etc.. for easy tracking and future references.
  • Exporting & importing necessary documents on to Merit Server.
  • Transmitting executed change orders to contractors, letters to client, site instructions, site bulletins and other publications to numerous contractors in the project.
  • Distribution of approved documents both in electronic and hard copies to relevant recipients for immediate action including head office in Vancouver.
  • Coordinating with the Site Administrator
The ideal candidate should have a minimum of 2 years experience in document control. The applicant should have good people and management skills.
